Position Title: Payroll Officer
Department: Finance
Reports To: Vice president for Finance and Administration
Location: Dar al-Kalima University
Job Type: [Part-Time]
Duration: 6 months
Job Overview
The Payroll Officer is responsible for managing and processing the payroll functions for the organization, ensuring employees are paid accurately and on time, while maintaining compliance with company policies and legal requirements. The role involves working closely with HR and finance teams to ensure smooth payroll processing, tax filing, and employee benefit management.
Key Responsibilities
- Payroll Processing
- Process and manage payroll for all employees, ensuring accuracy and compliance with wage laws.
- Calculate and verify hours worked, overtime, and deductions.
- Prepare and distribute pay statements to employees.
- Ensure timely and accurate payment through direct transfer, checks, or other methods.
- Ensure compliance with local payroll regulations, including tax laws, minimum wage laws, and deductions.
- Prepare and file tax reports and submissions (e.g., tax withholding, …..etc.).
- Assist in audits and provide necessary payroll records and reports.
- Monitor and update payroll-related policies in accordance with changes in labor laws.
- Administer employee benefits deductions such as health insurance, retirement plans, and other voluntary deductions.
- Coordinate benefit enrollment and changes with employees and benefits providers.
- Maintain accurate records of employee benefits and deductions.
- Revise and record the Insurance policies health/building and workman compensation and make the proper deduction table for the employees’ health insurance.
- Maintain and update employee payroll records in Bisan System.
- Address and resolve payroll-related inquiries from employees promptly and professionally.
- Ensure employee information such as pay rates, tax exemptions, and deductions are kept current.
- Assist with year-end payroll processing and reporting.
- Monitor sick leave, vacation days, and other time-off records.
- Provide payroll reports to management as required.
- Work closely with HR and finance teams to ensure smooth integration of payroll systems and processes.
- Communicate payroll deadlines and requirements to employees and departments.
Qualifications
Education:
- Minimum Bachelor’s degree in Accounting, Finance, or related field (preferred).
Experience:
- Proven experience as a Payroll Officer, Payroll Specialist, or similar role.
- Experience with payroll software (e.g., Bisan system) is a required.
- Experience with projects’ payroll allocation.
- Strong knowledge of payroll processes, tax laws, and labor regulations.
- Proficiency in Microsoft Office, especially Excel.
- Attention to detail and strong organizational skills.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent communication and interpersonal skills.
